| Rejection Form Letter Personnel Policy number 4.02.7 states “The department head is responsible for contacting applicants for interviews and notifying all other applicants as to whether or not they were selected.” The following is a sample of a letter that can be used for that purpose. It is a Word document and can be edited to include the name and address of the applicant and the position for which you were recruiting. The letter has been reviewed by the health science center’s legal counsel and is legally defensible. Any changes may effect the defensibility of the letter.
