Guidelines
for Writing a Scribe
The
following describes
(in
detail) the
scribes that you are expected to produce
&
that you are entitled to receive by your membership in the Scribe
Service. In the event of a
substandard scribe, it will be used by Quality Control to determine when
warnings and fines will be administered.

These Guidelines Carefully and Thoroughly Before
Scribing
I. Expected
Depth of Information:
·
all
topics mentioned by the professor should be in a topical outline format that lends itself to easy review
(this includes explanations, examples and details given by the professor,
but does not include unrelated anecdotes)
·
utilization
of the same descriptions of processes, diagrams, and structures that were
used during the lecture
·
Hence,
it is required that you attend the lecture you are scribing and use the audio
tape to ensure your accuracy and precision
II. On Your
Scribe Day:
·
Bring
a 60+ minute tape
(full-size, not the miniatures) onto which you will copy the recording of the
lecture. If you forget a tape, one
can be purchased at the 4th floor Library desk
($1.25)
·
You Must Check In with the
Scribe Service Quality Control (QC) member at the back of the
room
Quality
Control (QC) committee members are volunteers for your class, whose
responsibilities include making sure each scriber is present for their assigned
lecture
in
the rare event of a scribers
absence, the QC member Will hire a
Pro Scriber on your behalf
Note: If
you do not show up to scribe or do not check in with the QC member, you
will be required to pay the Pro Scriber hired by the QC member, at
whatever rate they have set. Please
arrange in advance for a Pro Scribe to cover you if at any time or for any
reason you intend not to scribe.
·
ask the
professor immediately before or after the lecture if they will be able to review
your scribe, and how they would prefer to do it
III. After the
Lecture:
·
pick up the audio tape from the QC
member
It
should be labeled with the date, time, subject, lecturer and lecture topic. If not, please write them in.
·
Take the
tape to the library ASAP (4th floor)
make yourself a copy in the
library
turn
the original in to the staff at the 4th floor circulation desk so
that they can put it on reserve for the rest of the class to access
All
tapes are expected to be available in the library in a timely manner; 6pm
at the latest.
IV. Writing Your
Scribe
·
Note
information put on reserve by the professor at the beginning of your
scribe
·
All figures
used during lectures and images contained in PowerPoint slides should be integrated into the
scribe
Note: You
do not need to include images that can be found in required texts or syllabus
supplements. Do note the
text, page number and figure reference number.
Note: You
are expected to include images from the lecture power point slides when
they are discussed during the lecture.
·
This may
require photocopying transparencies and shrinking them to fit the scribe,
however relevant text should still be legible.
·
Any figure
drawn by professors must be included
·
No personal
opinions or negative comments pertaining to the lecture or lecturer are to be
included!
Such
comments are unprofessional, and do have a way of getting back to
professors
Inappropriate
comments will be penalized accordingly
Let's
prove that we have the class to behave in a mature, responsible and professional
manner
·
In an effort
to prevent printing incorrect information, have the professor review and
revise the scribe prior to printing copies.
In
order to give the professors a reasonable amount of time to review the scribe,
it is best if you do the scribe the night of the lecture and turn it in
to the professor the next day. This
leaves time to make changes and bring the final copy to the print
shop.

Include a
note at the top of the page when a professor has reviewed a scribe. If they are unwilling to review scribes,
note simply as "[Professor's name & title] does not review
scribes"
·
With
professors who are willing to check scribes, be proactive about getting
the reviewed scribe back from the professor in a timely manner.
(Professor
review does not extend the due date or time for scribes)
V. OMM Lectures
and Labs
·
Lecture
and PTR session
PowerPoints must be included as an attachment to the end of the scribe, *no more
than 6 slides per page
·
**Each PTR
scribe should have a section labeled
"Procedure" and a detailed description for each technique
covered. This section should
include:

information (ex: duration for muscle energy techniques)

Referencing
the PowerPoint slide by # and adding scant comments is
unacceptable.
VI. Formatting
Expectations
·
Every scribe
must be in a tabbed or outline format that lends itself to easy
review
Information
should be organized by topic (*not by slide
number!)
The
ultimate goal is to include every point presented in lecture in a way
that shows what is important and why
Do
not reproduce the lecture as a verbatim transcript
If
you are unsure about what this means, please contact one of the Scribe Officers
(contact information attached)

Bold
important terms and concepts emphasized
by professors
·
Use a
non-script font, preferably Times New Roman or Arial, in 11 or 12 pt.

1. Select
"Header and Footer" from the "View" menu at the top of the screen.
2. A
toolbar will pop up and your cursor will be in the heading area of the page.
3. Select
the button that looks like a book ("Page Setup" button).
4. Under
the "Layout" tab, check the box labeled "Different first page."
5. Press
right justify button on the normal toolbar.
6. Type
in the header for the first page.
7. To
add page numbers, choose "Page X of Y" from the "Insert Auto Text"
drop-down menu
8. Type
in the header on second page (remember to right justify it). This will give you the same heading for
every page except the first.
VIII. Printing
·
Scribes are
charged per side printed on, not per sheet of paper.
Note:
If
there are only a few lines on the last page, alter the top and bottom margins in
the "Page Setup" window under the "File" menu to remove the need for that
extra page. However, a 1" margin
on the left and right sides of the page are for holes to be
punched.
·
A "scribe
copy card" is available at the 4th floor circulation desk to print
out your final copy only. Do
not use this to print out rough drafts!
·
Scribes are
printed at ONE STOP PRINTING

Hours:
M-F 8:30-5:30 and Sat 9-12
After-hours,
scribes can be dropped off in the ONE STOP mailbox in a Ziploc bag and picked up
the next day. Include a note
stating "for Class of 2005 Scribes" and state whether it is an OMM or
class lecture.
·
With the
addition of Grad Students and PA students to course lectures, more course
scribes will be printed than OMM scribes.
Be sure to inform ONE STOP personnel if it is an OMM scribe, so that
they can adjust the number of printouts.
IX. Deadlines
·
All scribes
should be turned in to the mail room on time:
Monday-Wednesday
scribes are due by 4:30 pm on the second day after the
lecture.
Thursday
scribes are due Monday by 1 pm.
Friday
scribes are due on Monday 4:30 pm.
·
Super
Scribes: scribes
due in 24 hours because they precede an exam by less than 48 hours. These will be noted as such in the
schedule and the scriber will be skipped in the next alphabetic
rotation.
·
Lectures
scheduled the day before an exam covering information that will be on
that will be tested on that exam will
not be scribed.
·
In the event
of a Thursdays scribe material being on either a following Monday or Tuesday
exam, the scribe is due in the library at the circulation desk on Sat by
noon. (The mailroom is not open
on Saturdays.)
·
The one and only exception to due
dates:
If
the lecture is within 48 hours of an exam and lecture material will not be covered
on the upcoming exam,
Then
the scribe will be due by 10am on the 3rd day following the
lecture.
X. Comments,
Complaints, Corrections, Concerns & Constructive
Criticism
·
The above
mentioned regarding scribe content should be directed in writing or e-mail to the Quality Control Head
(Kathlyne Brown, box #36)
·
Comment
forms can be found in an envelope on the Class of 2005 Message Board
·
Corrections
will be posted on the Class of 2005 website error/correction board (by the
scriber only). To access: www.hsc.unt.edu/tcom2005 ή "Scribe
Service" link ή choose
Error/Correction Board from the pull-down menu at the top of the page.
Note:
Check this site for any corrections to scribes before you begin studying
them
Warnings,
Fines and Penalties
The
following is a list of fines and penalties that will be
enforced:
·
Late scribes
will be fined $8/day.
·
Poor quality
scribes:
Topic or
diagram deletion, gross format problems, and incorrect information will be fined
$15. (This includes failure to clearly
outline the lecture and omission of relevant information)
Presentation
format problems will be fined $5.
These include but are not limited to:
·
lack of page numbers
·
incorrect
heading (including day, date or time) or font
·
numerous
typos

A warning
will be issued for the first offense.
All offenses are cumulative from
the first semester. The Quality
Control Committee reviews Scribes and the Quality Control Head (Kathlyne Brown)
distributes fines.
·
After one
warning and two fines, you will be required to pay a Pro-Scribe to do your
future scribes.
If
you are a Pro-Scribe, you will no longer be allowed to Pro-Scribe and will be
required to hire another Pro-Scriber
to do your future
scribes.
·
Fines must
be paid to the Scribe Service Treasurer (Jonathan Wilson - box 265) within 2
weeks of notification.
·
Failure to
comply with the above penalties will result in removal from the Scribe Service
without refund.
